  VUMC Billing Number Management

  • All VUMC billing numbers will be activated in iLab via a nightly feed from Workday. Department administrators will no longer manually key in cost centers to iLab.
    • All billing numbers associated with grants will be auto-assigned to the PI’s Lab Group.
    • All other billing numbers will be active in iLab. However, there is a step required by the Department Administrator to claim the number in the system and assign it to the PI’s Lab Group.
  • PIs and Lab Managers will continue to assign access to specific lab members as appropriate. As a reminder, if the core allows users to submit service or reservation requests directly in iLab – The user will need access to the billing number to submit the request.

  VU Billing Number Management

  • VU users will continue to manage VU billing numbers via the webform on the Office of Research Website.
  • All VU users can view billing numbers available directly in iLab. On any VUMC core iLab site, click the purchase order or PO tab. A list of all VU billing numbers you have access to will display. Click the number to view additional details.
    • Once the detail view is open, you can view which lab members can use the number.
    • Contact our support team at VUMCcores@vumc.org to update which of your VU lab members have access to use the billing numbers.

Registration Tips:

If this is your first time logging into iLab, iLab will prompt you to register by asking you to select the appropriate lab group.

  • Research Staff (PIs, Lab Managers, Lab Members): Select your PI's lab group. If your PI's lab group is not listed or you are a new PI, select the AAA Default (VUMC) Lab.
  • Department Administrators:  Select the Admin (VUMC) Lab.
  • If you are unsure what type of account you need, select the AAA Default (VUMC) Lab.
